Babu HouseFull time

Procurement Administrator

Whitechapel35000-40000 per annum

At Dishoom, we serve up more than just great food - we share stories, culture, and connections across our family of restaurants, delivery kitchens, and our central production and e-commerce business. To keep everything running beautifully behind the scenes, our F&B supply chain needs to be as dependable and high-quality as our chai.

We’re now looking for a Procurement Administrator to join our team. You’ll play a vital supporting role in keeping our F&B supply chain running smoothly - helping to manage supplier relationships, maintain key systems, and ensure our restaurants always receive the right ingredients, on time and in perfect condition.

The Role

You’ll support the Senior Procurement Manager and the wider team in all aspects of F&B sourcing and supply chain management across our multi-site operations. This includes maintaining supplier records, managing system updates, coordinating deliveries, and assisting with data analysis, along with supporting Kitchen OPS and Bar OPS management.

This is a hands-on, detail-focused role ideal for someone who thrives in a fast-paced environment, enjoys building great working relationships, and takes pride in getting the details right with ambitions of future growth into Procurement Management.

Key Responsibilities

Procurement & Systems Support

  • Request product samples, confirm specifications and keep pricing information up to date.
  • Maintain the NPD tracker and support product sourcing alongside the Senior Procurement Manager.
  • Prepare documentation for tenders, supplier reviews and RFIs.
  • Research new suppliers and alternative products that meet quality, cost and sustainability requirements.
  • Support supplier evaluations and maintain accurate performance records.
  • Add and update supplier details in Food Alert, ensuring all compliance documents (certificates, specs, PQQs) are collected and shared with relevant teams.
  • Keep supplier and restaurant contact information accurate and up to date.
  • Gather seasonal delivery schedules (e.g. Christmas, Easter, Bank Holidays) and prepare information packs for cafés.
  • Support Beverage Operations with sourcing and maintaining the bar product range.
  • Manage supplier communications to ensure timely receipt of documentation and updates.

Operational & Restaurant Support

  • Provide daily administrative support to cafés and the F&B team for delivery and supplier issues.
  • Liaise between suppliers and internal teams (Operations, Finance, Supply Chain) to ensure smooth coordination and quick issue resolution.
  • Monitor stock and supplier availability to help maintain uninterrupted service.
  • Support new openings by placing pre-opening orders, coordinating deliveries and ensuring stock arrives on time.

Reporting & Data Management

  • Maintain accurate procurement records, including contracts, pricing and communications.
  • Prepare weekly supply-chain issue trackers and monthly summary reports.
  • Share weekly procurement updates with cafés, summarising product or supplier changes.
  • Support the procurement team with spend reports, category analysis and identifying trends or savings opportunities.
  • Attend supplier meetings, capture actions and follow up to ensure progress.

Continuous Improvement

  • Help implement more efficient supply chain processes to reduce waste and maintain product quality.
  • Contribute ideas that enhance sustainability and streamline administrative workflows.

About You

You’ll bring experience from a procurement support role, ideally within a multi-site hospitality or foodservice environment, and you’ll have a keen eye for detail, organisation and accuracy. You’re confident working with systems, particularly Procure Wizard and comfortable handling data, producing reports and meeting tight deadlines. Just as importantly, you’re a clear communicator who builds strong, positive relationships with suppliers and internal teams alike. You’re proactive, curious and always looking for ways to improve processes, and you’re excited about growing and developing within a busy, supportive procurement team.
